Summary

The Executive Assistant (EA) is part of the President’s Office and provides support to the President/CEO, the Board of Directors, and the Executive Leadership Team. The EA reports to the President/CEO and supports the President’s Office administratively, manages the agenda, and collaborates in communication and representation.

The EA is part of the Executive Leadership Team and manages meeting times and minutes. The EA supports the Board Chairman as the chairman leads the Board in its responsibilities and participates in board meetings and committee meetings as the administrative support.

Duties

1. Represent the President’s Office in alignment of the core values of Bible League International and in its priority of relationship and transparency.

2. Provide administrative assistance to the Board of Directors, chairman and all other members, in their governance responsibilities.

  • Serve as a point of contact for board members, assist with questions, providing documentation, communicating and assisting in tasks related to Board compliance.
  • Manage and develop systems for Board documentation and foundational documents.
  • Responsible for minutes at Board and committee meetings.
  • Support Board and committee chairmen in scheduling board and committee meetings, preparation of board agenda’s, and the meetings.

3. Provide administrative assistance to the President/CEO in the day-to-day operations of the President’s Office.

  • Serve as a first point of contact and communication for the President’s Office in connecting and correspondence with board members, staff, volunteers, donors, and other relevant relationships.
  • Keep records of communication and correspondence to and from the president’s office. Inform President/CEO on important staff events like onboarding, anniversaries, and other relevant events.
  • Responsible for President/CEO calendar, travel and meeting arrangements, screening participation requests, organizing regular meetings like Time w/ Jos, etc.
  • Manage documents, provide information, bring to attention matters of importance and relevance, and provide any other administrative assistance needed.
  • Prepares the budget for President’s Office and manages expense reconciliation and reimbursement for the President/CEO.

4. Participate in weekly and strategic Executive Leadership Team meetings. Responsible for scheduling, organizing, and recording of minutes.

5. Collaborate with the President/CEO on global board relationships and participation. Facilitate board relationships based on needs of the partnerships and board development strategies.

6. Connect with other departments for optimal collaboration of the President’s Office with all departments.

7. Develop systems of collaboration, filing and communication for the President’s Office. This includes board documentation, organizational documents, and other relevant information.

8. Coordinate and collaborate with the administrative team (or other EVP admins) for agenda alignment, organization calendar, and matters that arise from this meeting.

8. Support the other admins and leadership in organization-wide events or in other occasions as needed.

8. Occasionally supports other ELT members when needed.

8. Performs other duties as requested by the President/CEO.

Qualifications

  1. Must be a Christian, having a personal relationship with Jesus Christ. Must also agree with our statement of faith and conduct his/herself in a Christ-like manner.
  2. Possess 2-3 years’ experience; formal study or training in accounting preferred. Minimum of Degree level.
  3. High attention to detail.
  4. Proficient in MS Office.
  5. Must possess a professional-level proficiency in English.
  6. Demonstrate a strong commitment to service.
  7. Must be able to communicate in a positive, professional, courteous, and discreet manner with staff and public.
  8. Experience with handling confidential matters.

Standards of Performance

  1. Must be a Christian, having a personal relationship with Jesus Christ. Must also agree with our Statement of Faith and conduct him/herself in a Christ-like manner.
  2. High school diploma required; Bachelor’s degree preferred.
  3. Possess a minimum of 5 years of experience in providing administrative support at the Executive level.
  4. Must be able to serve all with respect, without bias and discrimination, motivated by Christ’s love for all people.
  5. Prioritizes relationship and the interest of the mission and the team.
  6. Positive, pro-active, and servant-heart attitude, with ability to establish and maintain good working relationships both internally and externally.
  7. Must be proficient in Microsoft 360, comfortable with online systems and innovative in online communication and collaboration tools.
  8. Must keep a professional and courteous demeanor and have experience in handling matters with a high degree of maturity, confidentiality, and discernment. Should be able to represent BLI well with the public.
  9. Ability to communicate effectively, both verbally and in writing, maintain detailed and accurate records and prepare clear and concise written reports.
  10. Strong proficiency in English language usage, grammar and punctuation is required.
  11. Ability to organize, coordinate, and prioritize a variety of assignments with attention to detail and accuracy.

Performance Evaluations

You will meet with your manager in alignment with our fiscal year to discuss accomplishments and priorities four times per fiscal year.
