Summary
The purpose of the Operations Specialist is to assist with the stewardship and accountability discipline of the ministry partners throughout the EMEA (Europe, Middle East & Africa ministry) unit, which would promote effective stewardship of all resources in attaining its ministry objectives. The Operations Specialist will primarily assist with the implementation of the procurement and logistics strategy for the EMEA unit and in the execution of Stewardship Reviews (compliance audits) for all ministry partners to achieve the objective of operational efficiency and cost effectiveness. In the event of absence of the EMEA Accountant & Regional Assistant, the Operations Specialist ensures the responsibilities as stated in point 9 of the duties.

Duties
- Coordinate with Bible League International (BLI) Global Operations on procurement and logistic matters.
- Coordinate with BLI EMEA unit ministry partners and printers on the procurement and shipment of Scripture materials.
- Process operational and Scripture grants to BLI EMEA unit’s ministry partners.
- Assist in the preparation of BLI EMEA unit’s yearly and quarterly budget print plan, and enter these details in the Project to Implementation Management System (P2I).
- Assist in the preparation of month end inventory reports from BLI EMEA unit’s ministry partners from the Project to Implementation Management System (P2I) which would provide a review of the utilization of BLI’s granted scriptures in their ministry.
- Organize and, as required, provide training on the Project to Implementation Management System (P2I) for existing or new BLI EMEA unit partners when deemed necessary.
- Monitor progress of new BLI products by liaising with BLI’s Translation, Publishing and Operations teams. This will also involve active participation in BLI’s Global Procurement Group.
- Under the direction of the Operations director EMEA, undertake Stewardship Reviews (compliance audits) of all ministry partners. In accordance with BLI’s Global Stewardship Review Guidelines, undertake such reviews on at least a once in two-year cycle for all ministry partners.
- Provide administrative assistance as and when required, like:
- Verify, allocate and post details of business transactions to BLI’s Accounting system- Business Central.
- Accounts Payable, review and pay suppliers, contractor invoices in a timely manner.
- Prepare monthly financial statements.
- Conduct monthly reconciliation of all bank accounts.
- Reconcile monthly grant payments against Purchase Orders.
- Perform monthly reconciliation of General Ledger.
- Attend unit meetings as and when required.
- Undertake international travel as required to fulfill the duties referred to above.
- Undertake all other tasks as directed by the Operations Director EMEA.

Collaborates with: members of the unit team, BLI ministry partners, printers, and BLI staff in the USA and other units
Qualifications
- Must be a Christian, having a personal relationship with Jesus Christ. Must also agree with our statement of faith and conduct his/herself in a Christ-like manner.
- Should have at least 5 years administrative experience in a business or non-profit setting.
- Must understand budgeting processes and possess the ability to assist the Operations Director with finance matters.
- Must be familiar with Microsoft Office and have recent experience in the operation of Excel spreadsheets, databases, Word and Powerpoint. Medium to advanced Excel skills are required. Excellent keyboard skills are essential.
- Passionately committed to serving indigenous churches and demonstrate an appreciation of other cultures.
- Should be a confident and effective communicator and possess high level English literacy and numerical skills. Accuracy in both areas is vital for this position.
- Be knowledgeable and aware of the present political, social and economic situations within the unit.
- Demonstrated experience in coordinating events and making travel arrangements.
- Should be a goal-orientated self-starter who is comfortable working with minimal supervision, and who naturally takes a high degree of responsibility for the effective administrative management of the unit.
- A willingness and availability to undertake overseas travel as required.
- Formal administrative or accounting qualifications will be highly regarded.
